5 Reasons Why You Need A Messaging Audit

Your company audits your finances, accounting and inventory systems, but have you ever considered auditing your messaging systems?  I know what you are thinking, “Why should we do that?”

Here are 5 reasons why you need a messaging audit:

1.       See what your customer sees

Do you really know how many emails or electronic alerts your customers get from you?  It may only seem like an email here and there but when that’s coming from each department it adds up fast.  Are you annoying your customers?  A messaging audit can help answer this question.

2.       Locate leaks in your customer contact system

Inevitably, companies have “leakage” in the customer acquisition cycle. Do you know where the most common leak points are? Do you know where the customer gets lost in your acquisition cycle or in the messaging system? An audit will find and highlight these areas so you can fix them.

3.       Touch Points

Each email and alert notice that goes out from you is a “touch point” with your customer.  Not all touch points can be controlled (i.e. inbound traffic from customers), but outbound emails and messages can be.  A messaging audit will identify all touch points, especially the most critical ones, so you can monitor and improve what is going out from every area of your company.

4.        Message Consistency

Along with improving the “touches,” auditing your messaging systems allow you to see all of the messages that are going out to your customers, thus enabling you to see if you are sending them consistent messages.  It is so frustrating when a customer hears conflicting messages from different departments, so audit your messaging system and make sure it doesn’t happen.

5.       Fix your problems – acquire and keep more customers

The most important reason to audit your messaging systems is that you can’t fix a problem if you don’t know where it is.  A messaging audit maps out the communication stream coming from your company and visually identifies interactions with customers and potential customers.     Excellent point.

    As an auditor, I clearly see the need for this. I've discussed it with a few CIO's in the past but they've minimized the importance of it. More education and focus needs to be given in this important IT Security area.
